AI Process Consulting · Johannesburg

Most companies don't need more AI.
They need the right three things automated.

We audit your operations the way a chartered accountant audits a set of books — process by process, handoff by handoff. Then we build the AI that closes the gaps we find. No transformation theatre. No tooling you'll abandon in six months.

The problem

Nobody plans to run a business on spreadsheets. It just happens.

Your ERP does what it does. Everything it doesn't do ends up in Excel, email, and someone's head. That gap between systems is where the hours disappear — and it's invisible until somebody maps it.

01

Month-end takes days, not hours

Bank reconciliations, inter-company eliminations, and manual journals stretch the close well past where it should end. Finance spends the first week of every month looking backwards.

20–40 hrs / month
02

Approvals live in email threads

Purchase requisitions, expense claims, and contract sign-offs sit in inboxes. Nobody knows who's holding up the chain until a supplier phones about a late payment.

3–7 day delays
03

Documents are typed in twice

Supplier invoices, delivery notes, and POD scans arrive as PDFs and get keyed into the system by hand. Every keystroke is a chance to introduce an error nobody catches until audit.

1–3% error rate
04

Compliance is reactive

SARS submissions, B-BBEE evidence, POPIA records, and FSCA reporting depend on somebody remembering. The control exists on paper, not in the process.

Audit findings
05

Management packs arrive stale

Reporting pulls from four systems and gets reformatted by hand. By the time the board sees the numbers, the month they describe is already over.

2–3 wks lag
How it works

Diagnose first. Build second. Never the other way around.

Roughly four in five AI projects fail — usually because someone bought a tool before understanding the process. We do it in the order that works.

STEP 01

We walk the process

On-site, with the people who actually do the work. We map each step, time it, and find the handoffs where things stall — the same way an audit walkthrough tests a control.

Output: process map + timing
STEP 02

We price the return

Every candidate process gets scored on hours recovered, error reduction, and build effort. You see the ROI case before you commit a rand — including the ones we recommend you skip.

Output: ranked opportunity list
STEP 03

We build and hand over

The top-ranked automation gets built on the systems you already run. Your team is trained on it, documentation comes with it, and you own the whole thing outright.

Output: working system + handover

Three ways to work together

Most clients start with an audit and decide from there. There's no obligation to continue past it — the findings are yours either way.

Who we work with

Gauteng businesses outgrowing their own processes

Typically R30m–R500m turnover with 30–250 staff — big enough for the complexity to hurt, small enough that nobody's been hired to fix it.

Financial services

Asset managers, brokers, fund administrators, and wealth firms. Client onboarding, reconciliation, and regulatory reporting carry heavy manual load and low tolerance for error.

Sandton · Rosebank · Bryanston

Manufacturing & logistics

Procurement approvals, supplier payment runs, stock reconciliation, and quality documentation — usually spread across an ERP and a decade of accumulated spreadsheets.

Ekurhuleni · Midrand · East Rand

Professional services

Mid-tier accounting practices, law firms, and engineering consultancies. Client intake, billing, document review, and matter management scale badly without automation.

Across greater Johannesburg

Retail & wholesale

Multi-branch operators where demand forecasting, stock movement, and supplier reconciliation get harder with every location added to the group.

Why us

We speak finance and AI. That combination is rare.

Most AI consultancies are technology-first. They build capable systems that solve problems the business didn't have, because nobody in the room could read a trial balance. Most process consultants have the opposite problem — they understand the business perfectly but can't build the fix.

Highveld-Reef AI was founded by a qualified CA(SA) with articles experience in audit, risk assessment, and process design, combined with hands-on AI implementation work. The diagnostic thinking comes from the audit floor. The build capability is current, practical, and used daily.

  • 01Chartered Accountant, CA(SA) — SAICA member in good standing
  • 02Articles experience across audit, risk, and internal control design
  • 03Working AI practitioner — production systems, not proofs of concept
  • 04Fluent in the local regulatory landscape: SARS, CIPC, FSCA, POPIA, King IV
  • 05Johannesburg-based, working on-site rather than at a distance
A business with fourteen manual processes usually only needs to automate three. Finding which three — and proving the return before you spend — is most of the value.
Our operating principle
We'll tell you when AI isn't the answer

Sometimes the fix is a better spreadsheet, a conversation with your ERP vendor, or removing an approval step that stopped being necessary years ago. We say so. A recommendation you don't need costs you more than the one you do.

Everything is fixed-scope

You get a defined deliverable at a defined price before work begins. No open-ended time-and-materials billing, and no invoice that arrives larger than the conversation suggested.

Common questions

The things people ask before booking

We're not ready for AI. Is this too early for us?
Usually the opposite. The audit works best before anyone has bought anything, because we're mapping how your business actually runs rather than untangling a tool that was implemented over the wrong process. If the answer turns out to be "not yet," that's a legitimate finding and you'll have it in writing.
Will this mean replacing our ERP?
No. We build on top of what you run — Sage, Pastel, SAP Business One, Xero, Microsoft 365, or whatever combination you've ended up with. Replacing core systems is expensive, slow, and rarely the actual problem. The gaps between systems are where the value sits.
What happens to our data?
We work within your POPIA obligations from day one. Data handling, retention, and processing arrangements are agreed in writing before the engagement starts, and anything sensitive stays inside your environment unless you explicitly decide otherwise.
Do we have to commit to a build after the audit?
No. The audit is a standalone deliverable. You get the process map, the ranked opportunities, and the costed ROI case, and you're free to take it to another provider, do it in-house, or shelve it. Roughly speaking, that's the point — the findings should stand on their own.
What size company does this suit?
Typically R30m–R500m turnover with 30–250 staff. Below that, the manual load usually isn't heavy enough to justify the build cost. Above it, you likely have internal capability already. If you're near either edge, a short call will settle it quickly.
Are you only working in Johannesburg?
For now, largely yes. The diagnostic depends on being physically present while people work, and Gauteng is where we can do that properly. We'll travel elsewhere in South Africa for the right engagement, priced accordingly.
